BuilderGrid generates lien waivers, change orders, marketplace contracts, and punch list sign-offs, then sends them to DocuSign for e-signature. Vendors or buyers sign from a single link; the audit trail (signature timestamp, IP, signer email) returns to the project record.
What it covers
The DocuSign integration handles e-signature workflows for five document types:
- Lien waivers. Conditional and unconditional waivers for each state’s statutory format. Vendor name, project address, amount waived, and period automatically populate from BuilderGrid project data. The waiver is sent to the vendor for signature; a signed copy is returned and stored in the project record.
- Change orders. Buyer-facing change requests with scope, cost delta, and schedule impact auto-filled. Owner or architect signs to approve; the signature date locks the change order in the project schedule.
- Marketplace contracts. Subcontractor scope-of-work and payment terms agreements signed before work starts. Auto-populated from BuilderGrid’s marketplace-contract template.
- Punch list sign-offs. Final inspection checklist signed by the owner (or owner’s representative) confirming substantial completion. Status updates flow back to the project close-out workflow.
- Custom templates. Any document uploaded to BuilderGrid as a template can be sent through DocuSign for e-signature; field mapping is manual on first use.
Auth and setup
The integration uses OAuth 2.0 via DocuSign Developer and requires admin authorization of the DocuSign account.
To enable the integration, an admin user in BuilderGrid navigates to Settings › Integrations and clicks "Authorize DocuSign." You are redirected to DocuSign’s consent screen. Log in with your DocuSign admin credentials. DocuSign will ask you to approve BuilderGrid’s access to your account. The scopes requested are:

Once authorized, the connection is stored securely. All team members can send documents for signature; only the admin can disconnect or modify integration settings. Lien-waiver and change-order templates can be managed directly in DocuSign (if using DocuSign’s library) or pushed from BuilderGrid’s template store.

Edge cases and gotchas
Signers without email. Rare for vendors, but common for owner-builders or co-owners. If a signer has no email on file, you can mark them as "wet ink only" and upload a scanned, manually signed copy instead. The system will not send a DocuSign link.
Signers refusing e-signature. If a vendor declines to use DocuSign or the link expires, fall back to wet ink (printed, hand-signed, scanned). Upload the scanned document directly to the project record; the system will treat it as executed.
Template drift. If a lien-waiver template is edited in DocuSign (field order, required clauses, formatting) but not in BuilderGrid, the auto-populated document may not match the DocuSign template. Verify templates in both systems before sending, especially after a state-specific waiver update.
Multi-state waivers. BuilderGrid stores state-specific lien-waiver templates. If a project spans multiple states (e.g., a regional builder), specify the project’s primary state before generating waivers. Out-of-state waivers must be generated manually and uploaded.
Limitations
The integration does not include notarization. DocuSign Notary is a separate DocuSign product; if required for your market, it must be purchased separately and configured in your DocuSign account. BuilderGrid will not automatically route documents to notarization.
Bulk signature requests (sending the same waiver to 20 vendors at once) are not automated; each vendor receives an individual link. Batch sending is not yet supported.
Related integrations
DocuSign integrates with QuickBooks Online to track change-order costs in your accounting ledger. Once a change order is signed, its amount can be synced to QuickBooks as an invoice adjustment.
